Accounting and Financial Control


A separate dedicated client bank account is held for each property.

We are regulated by the Royal Institution of Chartered Surveyors (RICS) so the bank accounts are interest bearing, free of bank charges and subject to the RICS Protection Scheme.

We would assess and prepare an Annual Service Charge budget for agreement by the Directors (and/or at an Annual General Meeting if applicable). The collection of Service Charge payments would then be arranged with lessees.

We will actively pursue lessees who are in arrears for service charge payments and, when necessary, will instruct solicitors to recover such service charges.

As a Managing Agent we cannot make payments or enter into contracts unless your account has funds. We therefore recommend that a sinking fund is incorporated into the Service Charge in this respect and also with a view toward future major works.

Maintenance Management


We will manage maintenance contracts for gardening by undertaking regular inspections. If appointed contractors fail to perform their duties, we would bring this to the attention of the Directors and review the appointment of contractors. We will ensure that contractors undertaking regular maintenance are covered by adequate indemnity insurances. We will provide emergency contact telephone numbers and respond to such enquiries or problems from leaseholders or residents.

We will undertake inspections and advise upon requirements for major works and, subject to agreement of major works, would issue formal Notices to leaseholders in accordance with Section 20 of the Landlord & Tenant Act and Section 151 of the Commonhold and Leasehold Reform Act 2002. Subject to approval of the Directors, we would prepare Specifications/Schedules of Work and obtain competitive quotations/tenders.

We will provide advice on Health & Safety matters relating to the regular maintenance of the property for compliance to the Health & Safety At Work Act 1974. We can arrange for an inspection in respect of asbestos in accordance with the Control of Asbestos Regulations 2012. We also arrange the Fire Risk Assessments in accordance with The Regulatory Reform (Fire Safety) Order 2005.

Legal Administration


We will maintain records and act in accordance with all legal requirements. We can advise leaseholders on compliance with terms of the lease and statutory requirements.

Should it be required upon agreement, records and annual returns can be provided to Companies House. We have a legal duty to ensure that insurance cover is maintained, both for Public Liability and Buildings Insurance.

Other Services


We can arrange for Building Surveys and advice on Planning and Building Regulation matters, subject to additional charges.

We can also arrange for and attend applications to Leasehold Valuations Tribunal, subject to additional charges.

Charges

Our annual fee is agreed upon appointment (to be reviewed at the Annual General Meeting if applicable). Our fees are payable quarterly in advance. The annual fees are inclusive of travelling expenses but do not include sundry expenses for administrative costs. Additional charges apply for providing information and administration to solicitors or other interested parties on changes of ownership. Additional charges will be incurred for call out on false complaints or problems unrelated to property management.
